Education Pricing
Smartsheet offers academic licensing for accredited educational institutions. Discounts vary but typically range from 10-25% depending on institution size and commitment. Faculty, staff, and students may qualify for different rates.
Contact Smartsheet's education sales team at [email protected] for a custom quote. Bring proof of institutional affiliation and estimated user count.
Government Pricing (Smartsheet Gov)
Smartsheet Gov is a FedRAMP-authorized version of Smartsheet for US federal, state, and local government agencies. It runs on dedicated government cloud infrastructure (AWS GovCloud) and meets FIPS 140-2, FedRAMP Moderate, and ITAR compliance requirements.
Pricing is not published publicly. Government contracts are typically negotiated through GSA Schedule or direct contracting. Expect 10-20% premium over commercial pricing due to compliance infrastructure costs.
Volume Discounts
| Seats | Expected Discount | Typical Price (Business) | Notes |
|---|---|---|---|
| 10-49 | 0-5% | $18-19/user/mo | Standard pricing, minimal negotiation leverage |
| 50-99 | 10-15% | $16-17/user/mo | Volume threshold unlocks initial discounts |
| 100-249 | 15-20% | $15-16/user/mo | Strong negotiation position |
| 250-499 | 20-25% | $14-15/user/mo | Dedicated account management |
| 500+ | 25-30%+ | $13-14/user/mo | Enterprise-level negotiation, multi-year deals |
These are approximate ranges based on procurement data. Actual discounts depend on negotiation skill, timing, and competitive pressure.
Negotiation Playbook
Step 1: Get Competitive Quotes First
Request formal quotes from Monday.com and Asana before calling Smartsheet sales. Having written competitive quotes gives you concrete leverage. Smartsheet reps are authorized to match or beat competitor pricing in many cases.
Step 2: Time Your Negotiation
Smartsheet's fiscal year ends January 31. Quarter-ends: April 30, July 31, October 31, January 31. Start conversations 3-4 weeks before quarter-end. Sales teams become increasingly flexible as the deadline approaches.
Step 3: Negotiate the Full Bundle
Include add-ons (Resource Management, Premier Support, training) in your initial negotiation. Bundled deals get better per-component pricing than adding items later. Frame it as: "We want the full stack, but the total needs to be $X."
Step 4: Offer Multi-Year for Deeper Discounts
A 2-year commitment typically yields 10-15% additional discount. A 3-year commitment yields 15-25%. Only commit multi-year if you are confident in adoption. Include a clause for adding seats at the same rate.
Step 5: Negotiate Non-Price Items
If the price will not budge further, negotiate: extended trial period (60-90 days), free Premier Support for the first year, implementation credits ($5K-$15K), extra seats at no charge, early access to new features.
Step 6: Renewal Leverage
At renewal time, do not auto-renew. Contact your rep 60 days before expiry. Signal that you are evaluating alternatives. Renewal is the second-best time to negotiate (after initial purchase) because Smartsheet values retention metrics.
